1. Purpose of the processing and the legal basis for the processing:
Fife Council use the personal information provided by you to assess risks to you as a lone worker and to take steps to avoid or control risks where necessary.
Fife Council needs to process your personal data to meet its obligations and duty of care as an employer, in line with Health and Safety Executive standards.
2. Please describe the categories of personal data processed by your Service or service:
Fife Council collects and processes a range of personal information about you. This includes:
- Name
- Mobile Number
- E-mail Address
- Login User Name
- Authentication Pin Number
- Staff ID Number (Payroll ID)
- Operator Escalation Instructions (associated with that user or their inherent group)
- Mobile and Device Settings Validation (i.e. what type of device the user has, whether they have a log-in to Safe Hub and whether there are Operator Instructions.
- Gender
- Date of Birth
- Hair Colour
- Ethnicity
- Job Location and Risk Factors
- Physical Description
- Medical Conditions
- Personal Notes
- Personal Mobile Phone Number
- Mobile Phone Details
- Duress Phrase
- Ok Password
- GPS Location (tracked/recorded every 10 minutes whilst the device is switched on). This information is only used when an alert is activated. When the device is charging, the device and GPS location will switch on.
- Voice recording (when you record this on the device).
Fife Council will collect the above information (mandatory/optional fields) when you, as a lone worker, input it into the Safe Hub platform via the Mobile Device Application.
3. Any recipient or categories of recipients of the personal data:
Your information may be shared internally, including:
- Team/Line Managers (in the event of an alert)
- Heads of Service
- BTS staff (in the event of an issue)
- Corporate Health and Safety Strategy Group
Fife Council may also share your personal data with third parties, including:
- MITIE ARC Operatives (to handle alerts)
- LWS Support Staff (providing a fully managed service)
- Emergency Services (only where appropriate and where escalation protocols have been followed)
For the purpose of:
- Complying with Health & Safety Legislation
- Ensuring the Health & Wellbeing of staff
- Compiling statistical analysis
In any of the above circumstances the data will be subject to confidentiality agreements.
4. The source the personal data originates from and whether it came from publicly accessible sources (including information gathered about third parties e.g. where we have gathered information about a third-party during discussions with a service user):
We will obtain your personal information from the information you have provided into the Safe Hub System for lone working.
5. Whether the provision of personal data is part of a statutory or contractual requirement or obligation and possible consequences of failing to provide the personal data:
You are obliged to provide Fife Council with personal data as part of your contract of employment as a lone worker. In the event that we did not request and use this information then it would not be possible to protect your health and wellbeing as an employee.
7. The existence of automated decision making, including profiling and information about how decisions are made, the significance and the consequences:
No automated decision-making takes place.
8. Retention
The data will be held in line with the Council’s Retention Schedule. The GPS location data will be held by the Supplier for 6 months (3 months thereafter on an anonymised basis) in order for it to be used, if required, in the event of an incident.
