1. Purpose of the processing and the legal basis for the processing:
Fife Council uses the information provided by you within your grant application form in order to process your application and make a decision about your grant application.
We have statutory functions to award grants and our legal basis for processing these application forms is:
- General Data Protection Regulations – Article 6 (1)(e) - For the performance of a task carried out in the public interest or in the exercise of official authority vested in the Council; and
- In terms of the Civic Government (Scotland) Act 1982.
2. Please describe the categories of personal data processed by your Service or service:
Most of the grants we award are for organisations. In these cases, the personal information we gather and use includes name and contact details for the applicant.
Some grants are awarded to individuals (for example, athletes, international youth experience). These applications will require additional details such as date of birth and bank information (to make payments).
3. Any recipient or categories of recipients of the personal data:
We share your information with other Council Services, Elected Members, Community Councils and, in some cases, additional funding bodies. These may include Fife Voluntary Action and NHS Fife.
We also provide your information to our suppliers to enable us to deliver this service.
4. The source the personal data originates from and whether it came from publicly accessible sources (including information gathered about third parties eg where we have gathered information about a third-party during discussions with a service user):
By completing this application form, we gather information about you and any third parties relevant to your application. We may also receive information in relation to your application from other Council Services.
5. Whether the provision of personal data is part of a statutory or contractual requirement or obligation and possible consequences of failing to provide the personal data:
In the event that we did not request and use this information then it would not be possible to carry out our statutory functions and determine your grant application.
7. The existence of automated decision making, including profiling and information about how decisions are made, the significance and the consequences:
No automated decision making or profiling will be undertaken in relation to your application.
