This Privacy Notice explains how we use the information that we collect about you.

Active Communities uses information provided by you to assist with delivering and providing a range of services.

We collect and process personal data for the purposes of:

  • Identifying individuals accessing the service
  • Ensuring activities are suitable and safe
  • Contact in case of emergency, cancellation or adjustment to the service
  • Monitoring participation levels in activities
  • Providing further information of relevant activities
  • Gaining feedback on the service accessed
  • Producing marketing material (Photographs, Videos)
  • Reporting to Governing Bodies of Sport, NHS and funding bodies

We use this information deliver the service as set out in the booking/registration form to carry out our public functions to promote and deliver participation in physical and sport.

Data described as personal information includes name, contact details, date of birth, disability, medical information, physical activity experience and gender.

At times we will share your information with other council departments as well as external partners and organisations. These include SportScotland, National Governing Bodies of Sport, NHS, Scottish Government and funding bodies.

All information gathered will be from the registration process and the details that you provide.

We may gain personal information from internal and external partners who have requested Active Communities to make contact.

We will also process your personal information with your consent to provide further information about relevant services.

We will also process your personal information with your consent to third parties for assistance in delivering activities.

Active Communities gathers your personal information to ensure we provide a safe and effective service as part of a contractual commitment to you.

Failure to provide this information may result in us not being able to provide this service effectively.

Active Communities does not use any automated decision making or profiling tools.

The Council will not keep your information for longer than is necessary. In some instances the law sets the length of time information has to be kept. The Council has a retention schedule which sets out how long we hold different types of information. The retention schedule can be found on our Privacy policy page.
